The Internet Utility can automatically send repair status notices to your customers to actively notify them of the current status of their individual repair order(s). This can eliminate countless man-hours that are usually required to communicate with customers verbally over the phone, or to manually send e-mails and faxes. There are three types of repair status notices that can be sent.
The “Estimated Notice” sends the customer a notice that an estimate has been prepared for the servicing or repair of their item. If sent via e-mail or fax then the message includes an attached repair estimate form (see Repair Estimate). If sent via e-mail then the message can also include hyperlinks allowing the customer to easily send a reply e-mail approving or refusing the estimate. If configured accordingly, then the estimated notice can be resent repeatedly if no reply is received within a specified period of time.
The “Pickup Notice” sends the customer a notice when the servicing or repair on an item has been completed and the customer is to come pick up that item from the repair centre. If configured accordingly, then the pickup notice can be resent repeatedly if the customer has not picked up the item within a specified period of time.
The “Overdue Notice” sends the customer a notice when a receivable repair invoice or sales invoice is past the payment due date. If configured accordingly, then the pickup notice can be resent repeatedly if the customer has not paid that overdue invoice within a specified period of time.
All of the repair status notices can be sent via e-mail, fax, SMS text messaging, or any combination of those communication methods at the same time. Additionally, the communication methods can be prioritized. For example, a repair status notice can be configured to be sent via e-mail if there is an e-mail address on the repair order, via fax only if there is a fax number and no e-mail address on the repair order, or via SMS text message only if there is a mobile phone number, but no e-mail address or fax number on the repair order.
Sending repair status notices via fax is available only for licensed users of version 2.5 and higher. Sending repair status notices via SMS text messaging is available only for licensed users of version 2.5 and higher, and is not available in the Repair Lite edition.
